Docitrans is dedicated to assisting our clients in achieving and maintaining HIPAA (Health Insurance Portability and Accountability Act) compliance as it relates to health information management. In addition to our regular security standards, our internal initiative, known as Team HIPAA, continues to address the statutes in an effort to guarantee successful deployment of our compliance strategy within the time allotted by the federal guidelines. Based on these regulations, we have determined that our role is as a "business associate."

Our focus aims to protect the confidentiality of all privileged patient and client information stored internally and transferred over public networks. Docitrans has made it a top priority to work individually with our clients regarding HIPAA and security in general. Our efforts to provide the best security are ongoing and reviews are conducted regularly. Accordingly, Docitrans continuously implements the highest security levels possible as marked by managerial procedures that are teamed with technological innovation. SECURE PHYSICAL ACCESS Our data centers are locked-down and monitored 24 hours daily year-round by security.
Our security measures include stringent personnel access which subjects persons requesting physical access to multiple levels of identify verification.
AUTHENTICATED ACCESS & PRIVILEGES Docitrans uses embedded intelligence to ensure that private information is accessible only to necessary individuals as determined by role-based authentication procedures.This checkpoint ensures that only authorized persons can access information relevant to their specific job duties which are identified and authenticated by username and password. Background checks are also conducted on Docitrans employees and vendors.
AUDIT TRAILS Right from the stage of Dictation till the receipt of transcript by client,
Docitrans’s data centers maintain a detailed audit trail of all individuals who have any access to voice or data information.
REDUNDANCY In the event that any mechanism fails, others are standing by to take over while the failed component remains offline for correction. Docitrans’s voice and data network utilizes industry standard hardware and software (including hard drives, processors, power supplies, etc.) to minimize downtime.
DATA BACK-UP All data is permanently retained on offline media for added security. Additionally, this media is stored offsite in the improbable event that our data centers are compromised. Data is stored in an environmentally controlled secure room where access is restricted to authorized personnel. Our networks host firewalls and the latest antivirus software.
EMERGENCY/DISASTER MODE
In the unlikely event that our primary data center is compromised, our secondary data center leads to maintain service while minimizing downtime. In either case, clients can be assured that their mission-critical information is well protected in the event of fire, flood, earthquake, adverse weather, or criminal acts.
